Preserve the original furnishing attempt

Record the tax year, employee internal key, statement version, address used, mailing or electronic action date and evidence of that action. When paper mail returns, retain the returned envelope or a secure image showing the reason and relevant postal markings. Do not overwrite the original address with a later correction.

For 2026 W-2s, the IRS instructions generally require furnishing by February 1, 2027 and say properly addressed mailing on or before the due date meets the furnishing requirement. A returned item therefore needs facts about the original addressing and mailing, not an automatic assumption that it was timely or late.

Classify what actually failed

Use separate categories for returned paper mail, missing apartment or unit information, an employee who moved, an inaccessible electronic portal, a bounced notification and a request for another copy. Store the actual return reason separately from the team's interpretation. A bounced email notice does not necessarily establish the same facts as a returned paper statement.

Check whether the underlying W-2 values are correct. If an employee reports an amount error while discussing a lost statement, open a linked correction case rather than treating the entire request as redelivery. Verify the new destination through the employee process

Use the employer's established identity and contact-update process to confirm the employee and destination. Record when the update was verified and by whom. Avoid copying full SSNs into a shared tracker or sending wage statements to an unverified address supplied in an unexpected message.

Include former employees in the process. Their work email or payroll portal access may have ended even though their wage statement remains due. Assign an alternate authorized contact route and track unsuccessful attempts. A manager's guess about a former worker's address is not a verified update. Choose the correct recipient-copy action

When only the employee address on a filed W-2 was wrong and all other information was correct, IRS instructions provide recipient-copy options. Keep the first attempt and replacement as separate events. Changing a single delivery-date field would erase the sequence the team needs to explain later.

Retain undeliverable records and close factual gaps

The IRS undeliverable W-2 instructions say to keep employee copies that could not be delivered for four years. They provide an exception when the undelivered form can be produced electronically through April 15 of the fourth year after the year at issue. Do not send undeliverable employee copies to SSA.

Apply the relevant retention rules and employer policy to the actual case before setting a destruction date. Close operational follow-up only after recording the replacement action or a documented remaining obstacle. Keep a next-action date for unreachable employees. No. Review whether the statement was properly addressed and mailed by the due date under the IRS rule. A returned envelope supplies evidence, but the timeliness conclusion depends on the actual original mailing facts.

Should I send an address-only W-2c to SSA?

No, when the employee address was the only incorrect information, IRS instructions provide recipient-copy options without an SSA correction. Document the chosen option and do not send a duplicate Copy A merely to update the address.

Can I email the replacement immediately?
